Cookie Policy

Effective date: June 2026  ·  Applies to yoursafedocs.com and app.yoursafedocs.com

This policy explains what cookies are, which ones SafeDocs sets on your device, and how you can control them. It applies to both the SafeDocs marketing website (yoursafedocs.com) and the SafeDocs platform (app.yoursafedocs.com).

1. What Are Cookies

Cookies are small text files placed on your device when you visit a website or use a web application. They allow the site to recognise your device across page loads and visits, enabling things like keeping you logged in, remembering your preferences, and understanding how the site is being used.

Cookies are not programmes and cannot carry viruses or malware. They can only be read by the domain that set them.

There are several types of cookies:

  • Session cookies: exist only while your browser is open. Deleted automatically when you close it.
  • Persistent cookies: remain on your device for a set period of time, or until you delete them.
  • First-party cookies: set by the website you are visiting.
  • Third-party cookies: set by a different domain, typically a service provider the website uses.

2. How We Use Cookies

SafeDocs uses cookies only where necessary to operate the website and platform correctly, or where they provide a functional benefit to you. We do not use cookies for advertising or cross-site tracking.

Specifically, cookies on SafeDocs are used for:

  • Authentication: keeping you securely logged in to the platform during your session
  • Security: protecting forms and authenticated actions from cross-site request forgery
  • Preferences: remembering choices you have made, such as your cookie consent decision
  • Infrastructure: enabling our hosting provider to route requests correctly

We do not use Google Analytics, Meta Pixel, or any advertising network cookies.

Separately, the Workforce Operations Health Check records a small number of anonymous, cookie-free usage events, such as which step you reached or whether a report was unlocked, to help us understand how the tool is used. This does not involve cookies, browser fingerprinting, or any third-party analytics service, and is not linked to your identity unless you submit the report request form. See our Privacy Policy for details.

3. Types of Cookies We Set

Essential

Required for the website and platform to function. These cannot be disabled. Without them, features like staying logged in and submitting forms securely would not work.

Functional

Enhance your experience by remembering your preferences and enabling features like your cookie consent choice. Disabling these will not break the site but may affect convenience.

We do not set Analytics or Marketing cookies. If this changes, this policy will be updated and you will be given the opportunity to consent before they are placed.

4. Cookie Declaration

The following table lists every cookie currently set by SafeDocs.

This declaration is reviewed regularly. If new cookies are introduced, this table will be updated before they are set.

5. Third-Party Cookies

The authentication session cookie on the SafeDocs platform is managed by our infrastructure provider as part of secure login. It does not contain personal data and is not used for advertising or tracking.

We do not permit any third-party advertising or tracking networks to set cookies through SafeDocs properties.

6. Managing Your Cookie Preferences

Cookie consent banner

When you first visit yoursafedocs.com, you will be shown a cookie consent notice. You can accept all cookies or manage your preferences at that point. Your choice is stored in the safedocs-cookie-consent cookie for 12 months.

You can update your preferences at any time using the cookie settings link in the website footer.

Browser settings

You can also control cookies directly through your browser settings. Most browsers allow you to:

  • View cookies that have been set
  • Delete individual cookies or all cookies
  • Block cookies from specific sites
  • Block all third-party cookies

Note that disabling essential cookies, particularly authentication cookies on the platform, will prevent you from staying logged in and may make the platform unusable.

7. Changes to This Policy

We may update this Cookie Policy if we add new features, change service providers, or our use of cookies changes. The current version is always available at yoursafedocs.com/cookies.

If we introduce any new cookie categories, particularly analytics or functional cookies requiring consent, we will update the declaration table and reset the consent prompt so you can review and choose again.
